This policy explains how Pottery Club Prince Rupert collects, uses, shares, retains, and deletes personal information through pcpr.ca, our newsletter sign-up, communications, social channels, and any Meta app or social platform integration operated for the club.

Who We Are

Pottery Club Prince Rupert is a planned ceramics studio and arts community project in Prince Rupert, British Columbia, Canada. In this policy, "we", "us", and "our" refer to Pottery Club Prince Rupert.

We collect only the information we need to operate the website, communicate with interested members and supporters, manage social platform activity, protect the service, and comply with applicable legal obligations.

Information We Collect

  • Newsletter and inquiry information: your email address, optional name, consent choice, and any message or request you send to us.
  • Website and form information: IP address, referrer URL, campaign tags such as UTM source, medium, and campaign, basic device/browser data, timestamps, and anti-spam form fields.
  • Communications: information you provide when you contact us by email, Discord, Facebook, Instagram, Messenger, or another communication channel.
  • Meta app and social platform data: if you use a Facebook Login flow, Meta lead form, Messenger or Instagram messaging feature, Page or Instagram integration, or another Meta app feature connected to Pottery Club Prince Rupert, we may receive the identifiers, profile details, email address, permissions, messages, comments, account or Page information, and other data that you provide to Meta or authorize Meta to share with us.
  • Future membership or event information: if we later open memberships, workshops, classes, or event registration, we may collect the information needed to administer those services. We will update this policy if the data practices materially change.

How We Use Information

  • Send requested studio, membership, and project updates.
  • Respond to questions, support requests, and community messages.
  • Operate, secure, troubleshoot, and improve the website and forms.
  • Prevent spam, abuse, fraud, and unauthorized access.
  • Understand which campaigns or links brought visitors to the site.
  • Manage Meta, Facebook, Instagram, Messenger, Discord, and other social platform interactions related to the club.
  • Comply with applicable laws, platform terms, and legal requests.

How We Share Information

We do not sell or rent personal information. We share information only when needed for the purposes described in this policy.

  • Service providers: companies that help us host the website, process newsletter signups, send email, protect the service, manage forms, or operate communications. Current examples include Cloudflare for site hosting and security, and Buttondown for email newsletter signups.
  • Social platforms: Meta, Facebook, Instagram, Messenger, Discord, or similar platforms when you interact with us through those services or authorize an integration.
  • Legal and safety reasons: when required by law, to enforce our rights, protect users or the public, or respond to lawful requests.
  • Business or organizational changes: if the club changes structure, transfers operations, or partners with another organization, information may be transferred as part of that change subject to this policy.

Newsletter and Consent

When you join the update list, we use your email address to send occasional studio updates. The signup form asks for consent before subscribing you. You can unsubscribe using the link in an email or by contacting us.

Newsletter signups are processed through Buttondown. We may send Buttondown your email address, optional name, IP address, referrer, and campaign information so the signup can be confirmed, attributed, and protected from abuse.

Cookies, Logs, and Analytics

The current pcpr.ca website does not use third-party advertising cookies or a Meta Pixel. Our hosting and security providers may collect standard server logs, including IP address, request path, user agent, referrer, timestamps, and related technical details.

If we add analytics, advertising pixels, or other tracking tools later, we will update this policy and provide any consent or opt-out controls required by applicable law.

Access, Correction, and Data Deletion

You may ask us to access, correct, delete, or stop using personal information that we control, subject to legal, security, fraud prevention, and recordkeeping requirements.

To request deletion, email privacy@pcpr.ca with the subject "Data deletion request". Include the email address, social account, or Meta account information needed to identify the records you want deleted. We may ask for verification before acting on a request.

For Meta app data, you may also remove the app or integration from your Facebook or Instagram account settings. If we have received data from Meta that is still under our control, we will delete or de-identify it after a verified deletion request unless we must retain it for legal, safety, or operational reasons.

Retention and Security

We retain personal information only as long as reasonably needed for the purposes described in this policy. Newsletter records are kept until you unsubscribe or request deletion, unless we need to retain limited records for compliance, security, or abuse prevention.

We use reasonable administrative, technical, and organizational safeguards to protect personal information. No website, email system, or social platform is completely secure, so we cannot guarantee absolute security.

Children and Youth

The website and Meta app features are not directed to children under 13. If future youth classes or programs collect personal information from minors, we will use appropriate parent or guardian consent and program-specific safeguards.

International Transfers

Our service providers may process or store personal information in Canada, the United States, or other countries. Information handled outside your province or country may be subject to the laws of the place where it is processed.

Changes to This Policy

We may update this policy as our website, club operations, Meta app features, service providers, or legal requirements change. The latest version will be posted at this URL with an updated date.
